Client Description

A U.S.-based environmental testing and facility compliance services company contacted Softacom. The company provides environmental inspections, laboratory testing, compliance documentation, and technical reporting for commercial and industrial facilities.

For more than 20 years, the organization relied on a desktop application built with Delphi 7. Although it was originally introduced as an ERP system, over time it became a central operational platform used across laboratory teams, project documentation, reporting, and internal coordination.

The system remained functional, but it had become harder to support, integrate, and extend. The client wanted to modernize the platform while keeping daily operations uninterrupted.

Challenges
  • Aging Delphi infrastructure. The core system was built on Delphi 7 and had 513K+ lines of code. It was built using legacy VCL components and coding practices accumulated over many years. As a result, changes in one module often affected unrelated functionality.
  • Slow laboratory reporting workflows. Laboratory specialists generated compliance and testing reports manually through several disconnected processes. Large reports often required multiple data exports, manual formatting, repeated validation steps. This whole process could take up to 5 hours, creating delays for clients and internal teams.
  • Database performance problems. The system processed growing volumes of environmental and engineering test data. Several database operations required complex queries that evolved over many years without optimization. Users frequently experienced long loading times, delayed searches, slow report generation.
  • Integration limitations. The legacy architecture offered limited integration capabilities and couldn’t easily connect with external systems.
  • Knowledge transfer risks. Several key system components were understood only by two senior developers. This created significant business risk, such as longer onboarding periods, difficulty estimating changes, and increased dependency on specific employees.

Modernization Strategy

Softacom avoided a big-bang rewrite. The project was structured as a risk-controlled modernization: first understand and document the existing system, then migrate the Delphi codebase incrementally, refactor critical modules, optimize performance bottlenecks, and improve reporting and integration readiness.

Assessing the Legacy System and Recovering Knowledge

Softacom approached the modernization project as a gradual transformation. Since the application supported daily laboratory operations and engineering workflows, even short periods of downtime could affect project delivery. For this reason, the primary goal was to modernize the platform and ensure uninterrupted business operations simultaneously. 

We started the project with a detailed analysis of the existing Delphi 7 application. Our team analyzed thousands of source files, database structures, and business workflows. 

One of the first challenges became evident almost immediately: a significant part of the business logic existed only in the application code, with little documentation available.

Softacom worked with company staff to reconstruct business processes and document system behavior. This knowledge-gathering phase was essential for preserving functionality that users rely on every day.

Incremental Delphi 7 to Delphi 12 Migration

Softacom migrated the application to Delphi 12. To cut risks, we performed migration incrementally and also validated it through extensive testing before deployment.

This approach helped reduce migration risk and allowed the client to continue daily operations during the modernization process.

Refactoring the Architecture and Reducing Dependencies

After the architecture assessment, the Softacom team started separating tightly coupled modules that became difficult to maintain. Years of incremental development created dependencies between unrelated parts of the application. This made even small updates risky. 

Instead of rewriting the entire solution, we refactored core modules while validating functionality through extensive testing. Alongside this, we also reduced technical debt and improved the maintainability of the system.

Improving Performance and Automating Critical Workflows

Database performance was another obstacle. As the volume of laboratory data continued to grow, users experienced slow searches and lengthy report generation times. We conducted a detailed analysis of database activity and identified several bottlenecks caused by outdated queries and inefficient data access patterns.

We redesigned selected database-intensive operations and optimized data retrieval processes. This helped reduce response times across the system.

A particularly important focus area was report generation. The personnel often spent a lot of time collecting data from different sources. They had to validate information and manually prepare reports. Softacom redesigned this workflow and introduced automated reporting capabilities that consolidated data collection, validation, and formatting into a single streamlined process.

To maintain compliance requirements throughout this transformation, we needed close collaboration with domain experts to ensure that automation did not compromise reporting accuracy or regulatory standards.

Building an Integration-Ready Foundation

The client also needed better connectivity with external business systems and data sources used in laboratory and compliance workflows. The legacy application had limited integration capabilities. This made data exchange difficult and dependent on manual processes. 

To address this, Softacom introduced structured integration points and data exchange mechanisms for external systems and reporting workflows. This created a foundation for future digital initiatives and process automation.

Documentation and Long-Term Maintainability

Throughout the project, we gave special attention to long-term maintainability. Our team produced technical documentation, architectural guidelines, and deployment procedures that were missing. This reduced dependency on individual developers and made future system enhancements easier to plan and implement.
